FAQ: Digital appointment registration and check-in

What is digital appointment registration?

With digital appointment registration, you can fill out forms, confirm your insurance information, and pay your copay (if applicable) before coming to MIT Health for your appointment.

How is digital registration related to digital check-in?

If you’ve completed all parts of your digital registration — forms, insurance information, and any copays — you will be eligible for digital check-in when you arrive for your appointment.

What is digital check-in?

With digital check-in, you won’t need to go to the front desk to check in for your appointment. Instead, we’ll text a link to your phone that you can use to let us know you’ve arrived.

How do I begin the digital registration process?

We’ll send you a secure link by email and by text, as long we have your mobile phone number. Click on the link, enter your name and date of birth, confirm that you want to keep the appointment, and follow the prompts to complete your registration.

Can I complete the digital registration process on any smartphone or computer?

Yes. You can use any mobile device or any computer with internet access.

Do I have to fill out all the forms at the same time?

No. The system is designed to allow you to pause and pick up exactly where you left off.  

What happens if I don’t complete the digital registration process before my visit? 

We’ll have you complete what’s left when you arrive, including filling out necessary forms, confirming your insurance coverage, or paying copays. But, of course, completing these tasks ahead of time will make things go faster on the day of your appointment.

Can I use the system to upload my insurance card and ID? 

Yes. You can upload photos of your cards. The system uses secure technology similar to digital banking.  

What if I have trouble uploading a picture of my insurance card or ID?

We will help you when you arrive and can scan the card for you if necessary. 

How will digital registration work for my child’s appointment? 

The digital registration link for your child’s appointment will go to the email and mobile phone number we have on file. Use your child’s last name and date of birth to log in and complete the registration process for them. If you have a teenager who has given us their mobile phone number, we will text them directly.

Is digital appointment registration available for every service?

Yes, it’s available for all scheduled medical and lab appointments. It is not available for appointments in the Dental Service. 

The registration system is asking for information I’ve already shared with MIT Health. Why do I need to enter this information again?

We are asking every patient to complete their forms once using the digital registration system. This ensures that we have the most up-to-date, accurate patient data possible. After you complete the forms online one time, we won’t ask you to do it again. 

How does providing name and date of birth make the login secure? 

The is sent only to your email and mobile phone and is unique to you. The link takes you to a unique login page that only works if you enter the name and date of birth we have on file. Any information you enter into this system is secure as required by the Health Insurance Portability and Accountability Act (HIPAA).  

Could anyone else find out about my appointment?

Only if you share your phone and email account with someone else. That’s because the digital registration link goes to the email address and phone number we have on file for you. If someone else has access to your phone or email account, they could find out that you have an upcoming appointment. 

Are the online forms available in other languages? 

Not at this time. We hope to add additional languages in the future.  

Can I opt out of this service?

Yes. You can opt out of text messages by replying STOP to any text message you receive from us. You can opt out of emails by clicking “unsubscribe” at the bottom of any email we send you. (You can opt back in to text messages by replying START to the original text message or by texting START to 75442.)   

Can I still cancel an appointment after I have completed the digital appointment registration for that appointment? 

Yes, you can still cancel your appointment. 

How will I know that I have completed the digital registration process? 

When you are finished, you will see a screen that says, “Thanks, all done!”   

How do I report a problem with the system? 

Call the clinical area where you have your appointment, or just let us know when you arrive in person.   

Digital check-in

How does digital check-in work?

If you’ve completed the digital registration and we have a mobile phone number on file for you, you’ll get a text 30 minutes before your medical appointment (or 15 minutes before a lab appointment). When you arrive in the waiting room for your appointment, click on that link and confirm that your appointment information is correct. You’ll get a message confirming that you are checked in. Then have a seat and wait to be called.

What if I don’t get a text message inviting me to check in?

Just go to the front desk and check in as usual.

What if I prefer to check in at the front desk?

No problem! Digital check-in is entirely optional. If you prefer to check in at the front desk, our patient service representatives will be happy to help you.

Is digital check-available for all services?

Digital check-in is currently available for most services at our Campus Care Center. We will be adding digital check-in for additional services on campus and at the Lexington Care Center.
